If your photo is shortlisted, we may contact you to request a high-resolution TIFF file for long-term preservation in our digital heritage collection. For best results, we recommend your image be at least 3000 pixels on the longest side and minimally compressed.

Who/What is in the image? Why did you choose to submit this image? Include the names of people or organisations e.g. local businesses or community groups. The description of the image will be taken into by our judging panel and will add depth and value to our local history collection.
Please be as specific as possible. E.g. 150 Bank Street, South Melbourne VIC 3025
Give the date if you know it, or rough date range if you are unsure.

Photographs taken from 1994 onwards require a Photo Permission form for living individuals identifiable in the photograph.

Term and conditions agreement

Entrant Eligibility

  1. The Local History Photography Competition (‘the Competition’) is open to people with a connection/s to the City of Port Phillip including Resident, Business owner, Ratepayer, Worker, Student, Volunteer and Visitor.

  2. The Competition has two judging sections, which are – 18 years of age and over, and under 18 years of age.

    • Entrants under 18 years of age must have written parental/guardian consent to submit.

    • Contact details of parent/guardian must be supplied for the submission to be valid.

    • Submissions without this consent will not be accepted

  3. Entrants are permitted to submit any number of entries to categories for which they are eligible.

Photograph Requirements

  1. Photographs must be in JPEG, JPG, PNG, or TIFF format.

  2. Photographs must be of a high resolution to be added to the collection.

  3. Photographs should not include watermarks or other branding.

  4. Digital manipulation of the image is permitted.

  5. Photographs containing an image of a living person must be accompanied by a photo consent form signed by that person.

    • If a person under 18 years of age is identifiable in the photo, a photo consent form must be signed by the parent/guardian.

    • Contact details of parent/guardian must be supplied for the submission to be valid.

  6. Photographs must not contain inappropriate content. Inappropriate content is at the discretion of Port Phillip Heritage Centre staff.

Submission Requirements

  1. Entries should be submitted through the submission form on the Port Phillip Library Servicewebsite.

  2. Entry is free.

  3. The closing date and time for entries is 11.59 pm on Friday 31 October 2025. No late entries will be accepted.

Copyright

  1. Each photographer retains copyright of their image(s).

  2. In submitting a photograph as part of the Competition, the entrant:

    • Warrants that the photograph is their original work and that they are the copyright owner of the photograph.

    • Licenses the image under CC BY-NC SA or Attribution-NonCommercial-ShareAlike 4.0 International. This license allows others to share, adapt, and build upon your work, but only for non-commercial purposes, and they must credit you and share their adaptations under the same terms, and

    • Acknowledges that the photograph may be used within Council publications, promotional and marketing material, including in videos, catalogues, magazines, newspaper articles, brochures and social media and on Council’s website. Images will be credited with the name of the photographer if used by the City of Port Phillip Council.

Judging

  1. The overall winners of both age categories will be decided by a judging panel. The people’s choice winner will be decided on by a public vote.

  2. The photographs for the overall winners will be judged anonymously.

  3. The overall winners will be notified by Friday 28 November 2025 by email.

  4. Members of the public can only vote once for people’s choice.

  5. The people’s choice winner will be notified by Tuesday 16 December 2025 by email. 

Prizes

  1. The overall winners and people’s choice winner will be published on a Port Phillip Library website page. 

  2. Selected entries will be displayed on a page of the local history section of the library website.

  3. The entrant indemnifies the City of Port Phillip Council against any claim, legal or otherwise, that may arise out of publication of image(s) or this Competition.

  4. The City of Port Phillip Council reserves the right to disqualify any entry deemed to be in breach of the above Terms and Conditions, including but not limited to the Photograph and Submission Requirements.

  5. The City of Port Phillip Council is under no obligation to publish the Local History Photography Competition project within any timeframe and entry to the Competition does not confer any right of approval to entrants.

  6. By entering images into this Competition, the entrant guarantees to the City of Port Phillip that all the above Terms and Conditions have been met. Any entry found to breach the above Terms and Conditions will be disqualified and will be ineligible for a Prize.


Data privacy and collection

The personal information requested on this form is being collected by the City of Port Phillip (CoPP) and will be handled in accordance with the Privacy and Data Protection Act 2014. This information will be used solely by the council for that primary purpose or directly related purposes. It will be treated in compliance with the CoPP Information Privacy Policy and the Information Privacy Act.
